Create a Scheduled Meeting Through Outlook Calendar

  1. Log in to your Outlook email 

  2. On the left side panel, select the calendar icon

  1. Select the blue New Event icon at the top 

  2. Add in a title of the meeting, adjust the date/time, and add a description if needed

  3. Next to the title, be sure to enable Teams Meeting

  4. Under Invite Attendees, make sure to add “Engineering Conference Room” as a participant ( Engineering Conference Room is the room where you will start and control the meeting)

  1. Click Send

  2. You have created a scheduled Teams meeting in Outlook Calendar 


 

Create a scheduled Meeting Through Teams

This is an alternative way to using the Outlook Calendar

  1. Log in to your Office account from this link teams.microsoft.com

  2. On the side panel, select either Calendar or Meet

  1. At the top right, select the purple + New Meeting icon

  1. Enter a title and make sure to add “Engineering Conference Room” as an attendee 

  2. Make sure Online meeting is checked on

  3. Click Send

How to Start a Scheduled Meeting In the Charter Conference Room

  1. On the touch screen, select the meeting you created, make sure it has the proper name, requestor and time

  2. Click join 

  3. You have just joined the meeting. Please keep in mind that the Teams Room does not have any owner privileges 

  4. From here, you can control the volume, mute/unmute the camera, and mic 

  5. If you would like to share to this meeting, either join the Teams meeting from a laptop, enter the provided meeting ID, and share your screen as you normally would

  6. If you would like to share inside the room, please plug in the HDMI cable to display your laptop

  7. If you would like to add a person to the meeting, you can type in their name or number at the top right to send them a request

  8. If you would like to record the meeting, the owner of the meeting will have to join from a separate device to record

How to Join an External Teams meeting or Zoom meeting

  1. On the touch panel, select "Join with an ID"

       2. Select either Teams or Zoom 

       3. Enter the appropriate meeting ID and passcode

         4. You have just joined an external Teams/Zoom meeting
