Microsoft Outlook Quick Steps

In this article we will review Microsoft Outlook Quick Steps, which are like rules, but manually applied on a per message basis. 

Environment

Microsoft Outlook on the Web.

Steps

  • Navigate to Microsoft Outlook on the Web as you normally would.
  • Unless you have previously created a quick step, just click the Quick steps button in your ribbon. Otherwise click the drop down button to the right of your previously created quick step.

  • At the Quick steps window, click + Add quick step. Any previously made quick steps will show at the lower right.

  • In the first field, name your quick step. Make sure you name it something that you will understand what it does as this will be what the quick step button is called.
  • Choose the action to be taken on the selected message when you click this quick step button. Options are:
    • Move to
    • Copy to
    • Delete
    • Permanently delete message
    • Mark as read
    • Mark as unread
    • Set retention policy
    • Categorize message
    • Clear categories
    • Flag
    • Clear flags on message
    • Mark complete
    • Pin
    • Unpin
    • Snooze
    • Create task
    • Forward to
    • Forward as attachment
    • Reply with meeting
    • Ignore messages in this conversation
  • You can have more than one action with this quick step so repeat as desired.
  • You have the option to assign a keyboard shortcut to this quick step as well.

  • Your quick step button is now replaced with your first quick step. If you have multiple, you can change the order so the one you use the most is on top. Change order by dragging and dropping using the 6 dots at the left of the quick step or the up and down arrows to the right.
