Managing Breakout Rooms in Microsoft Teams

This article reviews how to manage breakout rooms in Microsoft Teams.

Environment

Microsoft Teams application locally installed.

Hint: (Breakout rooms are not supported in the web version of Microsoft Teams for organizers. While you can setup ahead of time in the web version, you can not manage them while joined to a meeting on the web. Attendees can use the breakout rooms on the web version.)

 

Steps

  • Navigate to your scheduled calendar entry containing the desired Teams meeting and double click it.
  • At the right side of the ribbon, click the three dots if the Breakout rooms option is not visible.
  • Click Breakout rooms.

  • Click Create rooms at the new window that appears.

  • Select the number of rooms you desired and click Add rooms in the pop up window that appears.

  • You will now see your newly created rooms appear. Above them there is a button to Assign participants. Click that button.

  • Your options are:
    • Automatically assign people to each room
    • Manually assign people to rooms
    • Let people choose their rooms
  • Make your desired choice and click the Next button at the bottom right of the screen.

  • If you wish to make a change after assignments have been made, simply click Assign participants again and you will be presented with a screen showing active room assignments for each meeting attendee. Simply click the drop down to the right of their current assignment to change the assignment.
  • You have the option to shuffle everyone randomly as well if you so desire by clicking into the Shuffle menu at the top right.
  • When completed making your adjustments, click the Save button at the bottom right.

  • When in the meeting using the locally installed Microsoft Teams app, click the rooms button.
  • You will now see your Breakout rooms.
  • You can use the + button to add more rooms.
  • You can use the Open rooms button to open all rooms at once.
  • You can use the drop down menu to the right of any room to Open, Rename or Delete an individual room.
  • The mega phone button at the top allows you to send an announcement to your rooms.
  • The trash can icon deletes all the rooms.
  • The gear icon provides more advanced settings for room control that will be presented below.

  • To join a room, click the three dot menu to the right of your desired room and click Join.

  • To return to the main meeting, at the top right, click Leave room.

  • ​​​​​​To close the rooms, click Close rooms in the Breakout rooms menu.
