Sharing Via a Link in Microsoft 365

This article reviews how to share via a link in Microsoft 365.

Environment

Microsoft 365 on a desktop browser.

Steps

  • Note that sharing via a link is very permissive. Be mindful of what that means before proceeding and discuss with ITS if you have questions.
  • There are different links for sharing with individuals vs sharing with a link so be mindful to provide the correct link.
  • Navigate to Microsoft 365 as you normally would.
  • Click the share button to the right of the document you wish to share. The share button looks like a square with an arrow coming up and to the right.

  • Click Share again on the drop down menu.

  • Note that clicking Copy link at the screen that appears copies the link for sharing with individuals, not the link for sharing via link. This can be confusing.
  • Click the gear icon to the right of Copy link to setup a link for sharing.

  • At the top area select who you wish to grant the access to.
  • Options are:
    • Anyone
    • People in manhattan.edu
    • Only people with existing access
    • People you choose

  • Under More settings, select the level of access you wish to provide.
  • Options are:
    • Can edit (Make any changes)
    • Can review (Can only suggest changes)
    • Can view (Can't make changes)
    • Can't download (Can view, but not download)

 

  • As previously mentioned, sharing a link can be very permissive. You may want to take advantage of the option to set an expiration date on the link.
  • If selecting Anyone, you get an option to set a password.
  • When done making selections, click Apply.
  • Before copying the link, mouse over it to ensure it is providing you the desired link with the desired audience and permission.
  • Then click Copy link to retrieve your link.
  • Always check to ensure the link is correct by mousing over it when copying for sharing.
