In this article we will review tools for sharing and collaborating in Microsoft 365.

Environment

Microsoft 365 in a desktop browser.

Steps

  • Navigate to Microsoft 365 as you normally would.
  • Note that if there are any comments on your file it will note on the right side.

Sharing a File

  • To share a file, right mouse click on the desired file. 
  • Mouse over Share and click Share.

  • Click the pencil icon on the right side of the pop up window and select the level of access you wish to share.
  • Type the person's name or email and click Send or you can also just copy the link and that access will be provided to anyone with the link.

Commenting & Notes

  • In this example I am using Microsoft Excel as it allows me to demonstrate a note and a comment.
  • Open the file you wish to collaborate on.
  • Select and right click on the item you wish to make a note or comment on. Select New Note or Comment depending on what you wish to do.
  • Comments allow you to notify collaborators using the @ symbol.
